Who we are

Music Library Tools LTD ("we", "us", "our") operates the Music Library Tools website at musiclibrarytools.co.uk and the Music Library Tools desktop applications. We are the data controller for the personal information described on this page.

This notice explains what we collect, why, and what you can do about it. It applies to the website, the applications, and our marketing emails. Last updated 19 August 2026.

What we collect

Your account. When you sign up we collect your email address, and your name if you give us one. We create an account for you and send you sign-in details.

How you use the app. We record when you last signed in, which platform and version you are running, and which features you have used. We use this to understand whether people who sign up actually get started, and to support you when something goes wrong.

Your music library stays yours. The applications read your Serato library on your own computer so they can find duplicates, fix missing tracks and organise crates. That scanning happens locally. We do not upload your music files, and we do not receive a copy of your library.

Purchases. If you buy, our payment provider handles your card details. We never see or store your full card number. We keep a record of what you bought and when.

How you found us. If you arrive through one of our links or adverts, we record which link it was, so we can tell which of our marketing is worth continuing. This is tied to your signup, not to your browsing elsewhere on the internet.

Website analytics. Pages visited, approximate location from your IP address, device and browser. See the cookies section below.

Why we use it, and on what basis

To give you the product you asked for. Creating your account, sending your sign-in details and download link, licensing the software, providing support and handling refunds. Our basis is performance of a contract with you.

To keep the product working. Diagnosing faults, preventing abuse, and understanding which features are used so we know what to improve. Our basis is our legitimate interest in running and improving the product.

To tell you about our own products. See the next section.

To meet our legal obligations, such as keeping records of sales for tax purposes.

Marketing emails

If you sign up for Music Library Tools, we will send you emails about our own similar products and features. We tell you this at the point we ask for your address, and every email we send has a one-click unsubscribe link. Our basis for this is the soft opt-in permitted under the Privacy and Electronic Communications Regulations, or your consent where you have given it.

You can stop these at any time by clicking unsubscribe in any email, or by emailing us. Unsubscribing from marketing does not stop the emails we have to send you about your account, your purchase, or your download.

We do not sell your email address, and we do not share it with anyone for their own marketing.

Who we share it with

We use a small number of service providers who process personal information on our behalf, under contract and only on our instructions:

Supabase — stores your account and licence records.
Stripe — takes payments. Stripe handles your card details directly.
EmailOctopus — sends our marketing emails.
ManyChat — sends your welcome email, sign-in details and download reminders.
DigitalOcean — hosts our website and services.
Google Analytics — website analytics.
Meta — advertising measurement, where you have accepted marketing cookies.

Some of these providers are based outside the UK. Where information is transferred outside the UK, it is protected by the safeguards required under UK data protection law, such as the International Data Transfer Agreement or an adequacy decision.

We may also disclose information where we are legally required to, or to establish or defend legal claims.

Cookies and advertising

Our website uses cookies and similar technologies. Necessary cookies always run. Analytics and marketing cookies only run if you accept them, and you can change your choice at any time using the cookies settings link in the footer.

Where you have accepted marketing cookies, we use the Meta pixel to measure whether our adverts lead to signups and purchases. Full detail is in our cookie policy.

How long we keep it

We keep your account for as long as it is active. If you ask us to delete it, we will, other than records we are required to keep — sales records are kept for six years for tax purposes.

If you unsubscribe from marketing, we keep a record of that so we do not email you again by mistake.

Your rights

Under UK data protection law you have the right to ask us for a copy of the personal information we hold about you, to have it corrected if it is wrong, to have it deleted, to restrict or object to how we use it, and to receive it in a portable format. Where we rely on your consent, you can withdraw it at any time.

To exercise any of these, email us at the address below. We will respond within one month. We will not charge you, and we will not treat you differently for asking.
